Purchasing Assistant

Job Description

Position Summary:

We are seeking a motivated team player with a can-do attitude who is willing to support the Purchasing Department as needed to ensure maximum efficiency.  He/she will aim for continuous improvement in the knowledge, skills and abilities necessary for this position, and execute their duties and responsibilities at a consistently high level.


Key Responsibilities:

Team Support

  • Receive visitors at the front door by greeting, welcoming, directing and announcing them appropriately
  • Assist with requests from management and other members of the Purchasing team as required
  • Receive and sort daily mail/deliveries
  • Answer the telephone lines promptly, directing calls as needed
  • Fax/e-mail necessary documents to vendors and Team Horner branches
  • Communicate regularly with vendors, carriers and Customer Service (all TH Branches)

 Purchasing

  • Help to place orders with vendors/suppliers, when required, after verifying price, quantities and the respective freight allowances
  • Follow up with vendors/suppliers on pending orders and notify sales teams of order status
  • Update internal data base with vendors/products information
  • Be the main contact for special orders with HornerXpress Worldwide
  • Run daily reports, monitor stock levels and identify purchasing needs while following company’s policies and standards

 Order Fulfillment

  • Trace orders in transit to ensure timely delivery
  • Report discrepancies to vendors/suppliers
  • Dispute charges to vendors and carriers, including but not limited to freight
  • Liaise with Receiving, Inventory Control and Warehouse personnel to assist with order receiving and ensuring all products arrive in good condition.

 

Required Experience

Knowledge, Skills & Abilities:

  • Positive, enthusiastic and flexible attitude

  • PC literate (Windows Office)
  • Strong communication skills
  • Strong organizational skills
  • Language skills a plus
  • Ability to attend company training programs including seminars on campus and elsewhere in Florida, both in and out of normal working hours
  • Consistent attendance and reliability
  • Contribute suggestions for process improvements
  • Involvement in continuous education and training, to improve knowledge of regulations and processes
  • Compliance with established protocols and procedures
  • A willingness to do what it takes to get the job done

 

Required Education

      High school diploma or equivalent (required)
